Consignor splits, payouts and statements for Shopify
Boothkeeper is a Shopify app for consignment shops, resale stores and maker markets. Each item belongs to a consignor. Every sale, online or at your POS counter, credits that consignor their share; refunds take it back. When you pay out, each consignor gets a statement that lists every sale.
Boothkeeper isn't in the Shopify App Store yet. This page describes the app as built; it will link to the listing once it's approved.
What it does
| Screen | What you do there |
|---|---|
| Balances | See what each consignor can be paid now, what's still in the returns hold, and their total balance. |
| Consignors | Add consignors with their share (for example 60%), a short key for tagging, and an optional email. Archive ones you no longer work with; their history stays. |
| Items | Assign products, or single variants, to a consignor. A variant's own owner wins over its product's, so one product can hold items from several consignors. |
| Payouts | See who is owed what, tick who you're paying, record how (cash, check, transfer, PayPal, store credit you gave in Shopify), and save the run. Download each run as CSV. |
| Consignor page | A statement for any date range: opening balance, every sale, refund, payout and adjustment, and the closing balance. Print it or download it as CSV. Add adjustments such as booth rent. |
| Settings | Default share, how discounts are split, hold days, minimum payout, and a Check now button for missed sales. |
How sales are counted
- Assign items on the Items page, or tag products in Shopify with
consignor:and the consignor's key, for exampleconsignor:ann. Tags work from bulk edit and from POS. - When an order is paid, each line that belongs to a consignor credits them their share of that line. The share is fixed at the moment of sale, so changing a split later never rewrites past sales.
- Discounts: by default the consignor's share is taken from the price the customer actually paid. You can switch to paying their share of the full price, so the shop absorbs its own promotions.
- Refunds take the refunded units' share back off the balance. Refunding every unit of a line brings it to exactly zero.
- Hold days: a sale becomes payable after your returns window (14 days unless you change it), so a return never has to come out of money already paid.
- Every night the app re-reads the last 60 days of orders and adds any sale or refund it missed. Nothing is counted twice.
Not counted: sales from before an item was assigned, tax, shipping, tips, gift cards, custom POS sales with no product, and test orders.
Amounts are kept in whole cents of your shop's currency, and a saved payout run is never edited. A mistake is fixed with an adjustment, so every statement adds up.
Importing from a spreadsheet
The Consignors and Items pages each take a CSV file, with a template to download. A consignor file has the columns name, key, email and share %; a row whose key already exists updates that consignor, and import never archives or deletes anyone. An item file names each item by sku (one variant) or handle (the whole product), with the consignor key and an optional share %. Before anything is saved, the app shows what each row will do, including rows it will skip and why: an unknown SKU, a SKU shared by several variants, or a new consignor past the free plan's limit. Up to 1,000 rows per file.
Permissions
| Shopify access | Why |
|---|---|
Read orders (read_orders) | Line items, prices, discounts and refunds, to credit consignors. The app never asks for customer names, emails, phone numbers or addresses. |
Read products (read_products) | To pick items, read the consignor: tag, and find the SKUs and handles in an imported file |
Write products (write_products) | Only to save each item's consignor in an app-owned field, so your staff can see it on the product in Shopify admin. The app doesn't change titles, prices, stock or anything else. |
Pricing
Planned: free for up to 10 active consignors, and $19 a month for any number, billed by Shopify. The listing will show the final prices.
